VSTE26 Refund Policy and Registration Transfers

Attendee, Exhibitor, and Sponsor Policy for VSTE Conference

Guidelines for Registration Transfers and Refunds

Refund Policy:

This policy applies to all attendees, exhibitors, and sponsors.

If an attendee is unable to attend, VSTE prefers that the registration be transferred to another attendee. Transfer requests MUST be made in writing and received three business days prior to the first day of the conference. Contact executivedirector@vste.org to transfer a registration to a new attendee.

All requests for refunds MUST be submitted in writing via email to the Executive Director (ExecutiveDirector@vste.org), Virginia Society for Technology in Education RECEIVED no later than 11:59 PM ET by the dates listed below. Telephone requests WILL NOT be honored.

Written requests for refunds will be processed as follows:

  • Received up to 30 days prior to the conference start date – A full refund will be issued, minus a $20 per person administrative fee and any non-refundable payment processing/merchant fees already incurred.
  • Received up to 15 days prior to the conference start date – 50% of the registration fee will be refunded, minus a $20 per person administrative fee and any non-refundable payment processing/merchant fees already incurred.
  • Received fewer than 5 days prior to the conference start date – Refunds will be considered on a case-by-case basis; non-refundable payment processing/merchant fees may still apply.
  • Received after the conference start date – Refunds will not be considered.

Please note: Payment processing and merchant fees collected by the payment provider at the time of registration are non-refundable and will be deducted from the refund amount issued.

Written requests for transfer or refund via e-mail should be submitted to: executivedirector@vste.org.

NOTE: Weather-related cancellations are handled by our insurance company, special rules apply and updates will be published on the conference website if needed.
